Communications Policy

Purpose

This SMS Text Messaging Communications Policy (“Policy“) describes how Alphia (“Company,” “we,” “us,” or “our“) uses SMS text messaging to communicate with its employees. The Company utilizes the Workday platform to deliver timely, relevant workplace communications to employees via text message. This Policy is intended to inform employees of the nature and scope of these communications, how mobile information is handled, and how employees may opt in or opt out of receiving such messages.

Scope

This Policy applies to all current employees of Alphia. This Policy governs SMS text messages sent by the Company for internal, employment-related purposes only.

Types of Communications

The Company may send SMS text messages to employees for the following purposes:

  • Emergency and Safety Alerts. Including inclement weather notifications, office closures, and other urgent notices affecting workplace operations.
  • General Company Updates. Including organizational announcements, policy changes, and other company-wide communications.
  • Benefits and Open Enrollment. Including reminders and information related to benefits enrollment periods, deadlines, and related action items.
  • Operational Notifications. Including schedule changes, system outages, and other time-sensitive operational information.

SMS Messages

You consent to receive SMS text messages from the Company for the purposes described in this Policy.

  • Message Frequency. Message frequency will vary depending on business needs and the nature of communications.
  • Message and Data Rates. Standard message and data rates from your mobile carrier may apply. The Company is not responsible for any charges incurred by employees from their wireless service providers.
  • Data Sharing. We do not sell, rent, or share your mobile number or consent/opt-in information to third parties for their own marketing purposes. We may disclose your information to service providers acting on our behalf to deliver messages to you.
  • Carrier Liability. Mobile carriers are not liable for delayed or undelivered messages.
  • Help and Unsubscribe. Use HELP for assistance or STOP to unsubscribe at any time. After you opt-out, you will receive one final confirmation message, and no further texts will be sent. Employees who opt out may still receive certain critical emergency or safety-related communications as permitted by applicable law.

Data Retention and Security

The Company will retain employee mobile phone numbers and related opt-in/opt-out records for the duration of the employee’s employment and for such additional period as may be required by applicable law or Company policy. Mobile information is stored and protected in accordance with the Company’s data security and information governance policies.

Changes to This Policy

The Company reserves the right to modify or update this Policy at any time. Employees will be notified of material changes through appropriate channels. Continued participation in SMS communications following notice of any changes constitutes acceptance of the updated Policy.
